Privacy Policy

Last updated October 12, 2026

This policy explains how Concatenate Inc. ("Concatenate", "we") handles personal information in Concatenate Insights. That means the Insights web application at insights.concatenate.us and the Concatenate Insights app for iPhone, together "Insights".

Who Insights is for

Insights is a business service. Commercial real-estate firms (our customers) subscribe to it for their staff and the people they work with. Each customer has its own Insights environment. The customer's administrator decides who has an account and what each person can see.

So for the information in a customer's environment, the customer decides how it is used, and Concatenate processes it on the customer's behalf. If you use Insights through your employer or a firm you work with, their privacy practices apply too, and they are your first contact for questions about your information (see "Your choices").

What we collect

Account information, provided by your organisation's administrator:

  • your name, email address and role;
  • which properties and parts of Insights you can use.

If you sign in with a Microsoft work account, we receive your name and email address from Microsoft to confirm who you are.

What you add to Insights:

  • commentary and notes;
  • actions and their updates;
  • discussions;
  • property inspection answers, comments and photos;
  • the documents you generate.

Security and activity records:

  • when you sign in, and what you change;
  • the IP address and the browser or app your request came from.

These are kept so your organisation can see who did what, and to protect accounts.

On iPhone, only if you turn on notifications: a notification token, your time zone and whether you want the weekday-morning reminder. Insights needs these to send you notifications. Notifications carry no figures, property names or notes, only enough for the app to open the right screen.

What we don't collect:

  • Insights shows no advertising.
  • It doesn't track you across other apps or websites.
  • It contains no third-party analytics or advertising code.
  • The iPhone app doesn't collect your location.
  • Photos are re-encoded on your phone before upload, so the location and device details a camera records are removed.
  • The camera is used only when you choose to take an inspection photo.

How we use it

We use this information to:

  • provide Insights to your organisation;
  • show you the properties and work you're responsible for;
  • send the notifications you've asked for;
  • keep accounts secure;
  • support your organisation when it asks for help.

We don't sell personal information, and we don't use it for advertising.

Where it's kept

  • Your organisation's data is stored in a database your organisation chooses, usually in its own cloud account.
  • Concatenate's own records are kept on Microsoft Azure: who belongs to which environment, sign-in sessions, and iPhone notification registrations.
  • On your iPhone, the app keeps copies of what you've opened and any changes waiting to send. These are protected by iOS Data Protection and removed when you sign out.

Service providers

We use these providers to run Insights, and share with them only what each task needs:

  • Microsoft: hosting on Azure, and Microsoft sign-in for organisations that use it.
  • Anthropic: Insights AI. When someone uses Insights AI, the relevant property figures, commentary and prompts are sent to Anthropic to produce suggestions and drafts. Your organisation decides whether Insights AI is used.
  • Apple: iPhone notifications, through Apple's Push Notification service.
  • Adobe: converting documents to PDF, where your organisation turns that on.
  • Google: maps of properties. Property addresses, not personal information, are sent to Google.
  • Concatenate's own services: the document service that builds reports, and Concatenate RealTime, where your organisation also uses it.

We may also disclose information when the law requires it, or to protect the rights and safety of our customers, their users or Concatenate.

How long it's kept

  • Your organisation's data is kept while it uses Insights, and is handled as its agreement with Concatenate says when that ends.
  • Activity and security records are kept for seven years.
  • Generated documents are kept for the period your organisation's administrator sets.
  • On your iPhone, data is kept until you sign out.

Your choices

  • To see, correct or remove your information, start with your organisation's Insights administrator. They manage your account and can remove it. You can also contact us (below), and we'll work with your organisation to respond.
  • Notifications: turn them off at any time in the app's Profile or in iOS Settings.
  • Signing out of the iPhone app removes Insights data from the phone.

Security

  • Insights encrypts information in transit.
  • Access is limited to the people and properties your organisation allows.
  • Changes are recorded in an activity log your organisation's administrators can review.
  • The iPhone app can be locked with Face ID, Touch ID or your passcode.

Children

Insights is a business service and isn't intended for children.

Changes

If we change this policy, we'll update the date above and, for significant changes, let customers know.
